Key, pass and alarm handling on Blacktown facility cleaning attendances

A key issued to a company is held by nobody in particular. When it goes missing, the honest answer is that it could have been any of several people, which is not an answer at all. Issuing to a named individual, recorded against their name and the date, means that a lost key produces a short list rather than a shrug. It also makes the holder personally accountable for it.

The same applies to access fobs and alarm codes. A code that four people know is a code that will eventually be known by someone who no longer works on the site. Individual codes, where the system supports them, are far preferable, because they also show which attendance disarmed the building and at what time. Where individual codes are not available, the change process on staff turnover matters much more.

The practical sequence is worth setting out because it is where mistakes occur. The cleaner arrives, disarms in the agreed sequence, and confirms the panel shows the areas expected to be armed and disarmed. If the building is already disarmed when it should not be, that is reported before entering rather than treated as convenient. If a zone will not disarm, the affected area is not forced and is reported instead.

On departure the reverse applies and is more error-prone, because it happens at the end of a shift when the cleaner is tired and the building is dark. Windows and rear doors are checked, lights are set as agreed, and the panel is armed and observed until it confirms. Walking away from a panel before it has confirmed is the single most common cause of an unarmed building overnight.

Key registers decay quietly. A cleaner leaves, a relief holds a key for a fortnight, a supervisor takes a spare for an inspection and keeps it. Six months later nobody can say with confidence who holds what. The fix is a reconciliation at fixed points: whenever a cleaner permanently leaves a site, whenever a supervisor changes, and at a set review interval regardless of whether anything appears to have changed.

Reconciliation means physically sighting keys against the register, not asking people to confirm by message. Where a key cannot be produced, it is reported to the client immediately rather than at the next review, because the client owns the decision about whether to rekey. That decision is theirs to make with full information, and delaying it to avoid an awkward conversation is not acceptable. Delaying a difficult conversation does not make the key any easier to find.
